Purpose of Function
This role involves performing a variety of administrative and clerical tasks, providing support to employees, assisting in daily office needs, and managing the company’s general administrative activities. It ensures that all support activities are carried out efficiently and effectively, allowing other operations to function properly.
Tasks and Responsibilities:
- Coordinating office activities to ensure efficiency and compliance with company policies.
- Managing agendas, flight arrangements, car arrangements, hotel bookings, etc.
- Managing phone calls and correspondence (emails, letters, packages, etc.).
- Ordering office supplies, including company business cards, and company seals, and researching new deals and suppliers.
- Managing and arranging fleet cards, mobile phones, and IT equipment, including installation.
- Handling and monitoring third-party contracts such as visas and work permits, cleaning services, office automation, etc.
- Maintaining contact lists.
- Submitting and reconciling expense reports.
- Providing general support to visitors.
- Acting as the point of contact for internal and external clients.
- Coordinating with Accounting for company fixed assets.
- Coordinating the repair and maintenance of the office with TDPK Office Building Management.
- Managing special tasks or projects as assigned.
Qualifications:
- Bachelor’s degree in any related field.
- 0-3 years of experience.
- Possessing good interpersonal skills and a pleasant personality.
- Service-minded.
- Good command of English with computer literacy.
