Job Summary:
The Receptionist & Facility Coordinator assists in managing and maintaining the front desk and facilities. This role involves greeting guests, managing the front desk, handling mail, coordinating day-to-day operations, supporting maintenance activities, and ensuring that the facility meets the needs of its occupants safely and efficiently.
Job Descriptions:
- Receptionist:
- Greeting customers/employees, answering calls, taking messages, and handling mail.
- Maintaining the reception area and supporting other administrative tasks.
- Operational Support:
- Assisting in the daily operations of the facility, ensuring all systems and equipment are functioning properly.
- Coordinating routine maintenance and repairs, and supporting office reconfigurations, working closely with vendors and contractors.
- Administrative Duties:
- Maintaining records of maintenance activities, inspections, and facility-related documentation.
- Assisting in preparing reports and maintaining facility management software.
- Vendor Coordination:
- Scheduling and coordinating services with external vendors and service providers.
- Ensuring that vendors complete tasks according to agreements and quality standards.
- Safety and Compliance:
- Assisting in implementing safety and security protocols.
- Conducting routine safety inspections and reporting any issues to the Facility Manager.
- Inventory Management:
- Monitoring and managing inventory of facility supplies and equipment.
- Ordering and replenishing supplies as necessary to ensure smooth operations.
- Customer Service:
- Serving as a point of contact for facility-related inquiries and requests from employees and visitors.
- Addressing and resolving issues promptly and efficiently.
- Event Coordination:
- Assisting in coordinating logistics for meetings, events, and other activities within the facility.
- Ensuring that meeting spaces and common areas are set up and maintained appropriately.
Qualifications:
- Associate's degree in facilities management, business administration, or a related field preferred.
- Minimum of 3 years of experience in facility coordination or a similar role.
- Knowledge of reception duties, building systems, and maintenance procedures.
- Strong organizational and multitasking skills.
- Excellent communication (both Thai and English) and interpersonal skills.
- Proficiency in Microsoft Office and facility management software.
