Job Description

Our client is a wholesale business of machinery and equipment for industrial use.

Responsibilities:

  • Attending to pre-sales inquiries regarding product availability, lead time, and price.
  • Initiating and following up on new item creation/customer creation in the system.
  • Reviewing customer POs and contracts, including but not limited to price and cost analysis, contract clauses, and credit. Ensuring that price and credit have been approved before entering the ERP system.
  • Operating POs based on sales order demand, tracking with vendors, including inter-company vendors and 3rd parties, to ensure schedules meet customer demands.
  • Tracking and updating daily orders to ensure project schedules are under control.
  • Arranging shipments, including retrieving items from vendors and scheduling pickups from customers. Following up on payment and forwarding details with customers and the factory.
  • Reviewing LC drafts and preparing and collating documents from various factories for LC presentation.
  • Coordinating with related parties on product quality issues.
  • Communicating and providing timely responses between customers, sales, operations, and the factory.
  • Generating and updating sales order backlog reports to inform sales and customers of updates.
  • Collecting and summarizing weekly and monthly sales and order forecasts.
  • Supporting management requests by preparing reports.
  • Supporting the manager in monitoring the execution process of commercial contracts to ensure compliance with company policies.
  • Performing any other tasks assigned by the manager.
  • Working hours: Mon-Fri, 8:30 AM - 5:30 PM.
  • 1-year contract, renewable.

Requirements:

  • Bachelor's degree or equivalent with at least 3 years of customer service support experience.
  • Work experience in the import/export business, order fulfilment and management, or purchasing functions is desired.
  • Responsible, reliable, with integrity, highly adaptable, and a strong sense of teamwork.
  • Willingness to learn new skills, open to development, and willing to work extra hours if required.
  • Proficient in English for communication with external and internal customers.
  • Proficient in Microsoft Office & Oracle ERP systems or other relevant ERP systems.
  • Good interpersonal and communication skills.
  • Strong sense of urgency and self-motivation.
  • Customer-focused, clear-thinking, and a team player.
