Position Overview:

The Personal Assistant to the CEO will play a crucial role in providing high-level administrative support to the CEO. This position requires a highly motivated, detail-oriented individual who thrives in a fast-paced environment. The ideal candidate will be able to manage multiple tasks effectively, maintain confidentiality, and handle a wide range of responsibilities with professionalism and discretion.

Key Responsibilities

  • Administrative Support

    • Managing and maintaining the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Preparing and reviewing correspondence, reports, and presentations as required.
    • Organizing and prioritising emails, phone calls, and other communications on behalf of the CEO.
  • Meeting Coordination

    • Coordinating and scheduling internal and external meetings, including preparing agendas and meeting materials.
    • Attending meetings, take detailed minutes, and follow up on action items.
  • Travel Management

    • Arranging travel itineraries, including flights, accommodation, and transportation.
    • Preparing travel documents and ensuring all arrangements are completed efficiently.
  • Project Assistance

    • Assisting in managing and tracking ongoing projects and initiatives.
    • Conducting research and compiling reports to support decision-making processes.
    • Possessing strong resource management skills.
    • Having the ability to analyze data and present findings effectively.
  • Confidentiality

    • Handling sensitive information with the utmost confidentiality and discretion.
    • Maintaining confidentiality regarding all company matters.

Qualifications

  • Experience

    • Proven experience as a Personal Assistant or in a similar administrative role.
    • Experience supporting senior executives, particularly in the real estate industry is a plus.
  • Skills

    • Exceptional organizational and time-management skills.
    • Strong English communication skills, both written and verbal.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
    • Ability to multitask and prioritize effectively in a dynamic environment.
  • Education

    • Bachelor’s degree or equivalent experience preferred.
