Key Responsibilities:

  • Completing a wide variety of administrative tasks for the Singaporean Managing Director.
  • Maintaining the Managing Director’s business calendar and collaborating with other functions for meetings, appointments, and travel arrangements.
  • Attending meetings, taking minutes, and following up on action points with relevant stakeholders.
  • Anticipating the Managing Director’s needs and proactively bringing together appropriate people and resources to support and address issues.
  • Working on-site with the Managing Director, including meeting clients, handling business negotiations, visiting projects, etc., both domestically and internationally.
  • Assisting the Managing Director in managing special projects, initiatives, and tasks.
  • Taking accountability for relevant office management priorities to enhance a positive, healthy, and modern workplace and professional environment.
  • Liaising with the office building and external service providers to maintain excellent office services.

Qualifications:

  • Bachelor’s Degree in Business Administration, General Management, Human Resources, Public Administration, or related fields.
  • At least 5 years of experience as an Executive Secretary, Personal Assistant to Executives, Office Manager, or managing an Executive Office.
  • Ability to work on-site with executives and highly flexible working hours.
  • Being open to new challenges, flexible to change, and highly self-independent.
  • Good communication skills, both verbal and written, in Chinese and English.
  • Strong interdependent partnering and people interaction skills.
  • Full-service mindset with good interpersonal skills, able to handle confidentiality.
  • Ability to work under high pressure in a deadline-driven environment.
  • Highly reliable and trustworthy, with the ability to handle confidential matters.
