Job Description

Our client is a leading global provider of information and communications technology (ICT) infrastructure and smart devices. With integrated solutions across four key domains – telecom networks, IT, smart devices, and cloud services.

Responsibilities:

  • Scheduling and coordinating appointments, meetings, and events (both internal and external) as necessary.
  • Arranging travel for VP (flights, visa, and hotel booking), file expenses, etc.
  • Providing time management/diary service for the VP in order to ensure the ability to attend all key meetings/activities at the appointed times.
  • Collating and filing expenses, receipts, invoices, and other documents.
  • Managing the publication of the policy/announcement/meeting minutes and act as a focal point of contact for any updates or regulations.
  • Ensuring that all department staff is kept informed of any necessary information.
  • Managing the day-to-day operations in-office service, support office administrative tasks.
  • Supporting the communication projects and in-house teams on tasks such as maintaining web content, social media accounts, tracking projects and media exposure as well as update the databases and contact lists.
  • Performing other miscellaneous tasks as assigned when necessary.

Requirements:

  • Bachelor's Degree in Business Administration or a related field.
  • Experienced in secretary/personal assistant/administrative roles.
  • Excellent oral and written communication in English and Chinese 
  • Able to handle and prioritize multiple tasks. Strong problem-solving skills.
  • Proactive in building effective working relationships with senior executives and colleagues.
  • Strong editing and researching skills.
  • Knowledge in marketing, communication, or public relations is a plus.
  • Working knowledge of design software (e.g., Photoshop, InDesign) and content management systems is a plus.
